Email Problems - Q & A
PLEASE NOTE: If you can't access your email enter your ALTERNATE email in the email blank in the ticket form and the "problem" email in the alternate box. Otherwise, when we answer, the reply will go to the account that you can't access.
- Email is slow downloading? Are you leaving too much e-mail on the server? You must remove all messages from the server at least once a week. If you have let 1500 messages accumulate on the server it would not be surprising if the send/receive is slow or unresponsive. If your connection is DSL and the slowdown is sporadic the cause is most likely to be DSL traffic loading. Try again at a later time.
- E-mail "receive" times out before you get any messages? (See above) - Also, go to your e-mail account settings, click on the "Advanced" tab and change the server time-out to a higher setting ( 120-200 seconds). Normal is 60 seconds. Find the lowest setting that works for you.
- E-mail settings change by themselves? It is possible that your anti-virus program (Norton, McAfee, etc.) has altered your send/receive settings. To find out, double check the e-mail "account" settings for any changes from what should be there. (See below) Yes, it is possible for anti-virus software to suddenly make changes for apparently "no reason". Microsoft Updates may also alter your settings when programs are updated.
- Can't get (receive) email? Are you leaving messages on the server? When the storage reaches its limit, messages can't be received. Send yourself an email from another source and see if the bounce messages says "mailbox full". Contact Guardian Tech Support to temporarily adjust the limits on your email storage.
Have you checked your settings against the sample shown at the Support web site? If your settings are not correct your e-mail will not function properly. Double check your user name and password with Webmail.

- Email starts to download and then stops. Same messages download every time?Some times an attachment or a "spam" message with improper headings (typically " ") will prevent downloads to Outlook Express from completing. To eliminate the problem use Webmail at http://webmail.[yourdomainhere.com]. The user name is your email address, the password is your email password for that account. Webmail accesses e-mail while it is still on the server, so you can use it to delete the "bad" message(s), and then ,"expunge" the deleted messages. You can then can go back to your regular email program and download the remainder of your e-mail normally.
- Keeps asking for password? Do you have "Remember password" checked? Also remember that passwords are case-sensitive. If your password is in lower case and you capitalize any part of it, the password is then "wrong" and the server can not accept it. Have you entered an ALIAS instead of your valid email user name? Remember an alias is just that, it is not a "real" user name. If your ai las is firstname.lastname@example.org and your "real" user name is "email@example.com", you can not log in as "info".
- If you try to "Send" e-mail and you receive an error message ( Error 553 ) that the server has "refused" your connection, click "Send/Receive" a second time and you may find the message is transmitted correctly. For security reasons, the server will only send messages AFTER you have attempted to receive messages. If you send a message before checking for incoming messages you may encounter the "refused" error. Simply clicking on "send/receive" a second time may allow the message to be sent. This situation arises due to a security precaution that prevents unauthorized persons from using our e-mail system (or your identity) for sending "spam" or virus-infected messages. If a sender is not authorized to receive messages the system simply does not allow messages to be sent. Try #8 below.

- I can receive e-mail OK but I can't send. This may also appear as a "time-out" or 0x800CCC19 error. If you are using our server for sending email, make sure you have checked "My server requires authentication" and that the user/password are the same as your "in box" settings. In Outlook Express go to Tools, Accounts, select the email account, then select Properties, Server. (See diagram at right)
If you are using your local ISP for sending email you will need to check your settings with your ISP's support department or their support web site. See "Email send problems" below (#12)
- "Can't find" mail.[yourdomain.com]? Has your domain registration expired? Look it up HERE (see WHOIS i n the blue box) to be sure.
- Sending email gets "Spamhaus" undefined error message? If you have a web accelerator installed you must turn OFF the email accelerator. Most email programs do not recognize compressed transmissions.
- "Invalid" address error message. Are you attempting to use an "invalid" email address? E-mail user names that are not valid, such as an address that includes a space, will simply not function. Some punctuation, such as the underline or dot are allowed, but because they may be misinterpreted or misread allowed punctuation is not the best choice to use.
- Email send problems - Earthlink, BellSouth and some other ISP's block users from sending email using anything except the their (the ISP's) email system. That means that if you use an ISP that blocks the SMTP port you will encounter error messages when trying to send email using your hosted email account. The solutionmay be to change the "SMTP" (send) server settings in the "Server" section of your Cyberchute email account to match the settings in the local ISP email account (example: firstname.lastname@example.org) so that messages are RECEIVED from your Cyberchute hosted domain address and SENT using your ISP email account. The workaround will be transparent (they can't tell) to those receiving your email messages. Since the user name and password for sending and receiving will be different you will need to check "My outgoing server requires authentication", then click "settings" and fill in your localISP user name and password. Setting the "reply to" setting in the "General" tab to your "real" email address makes it all transparent to those receiving your messages.
Port 25 test: Click HERE -- or Press Start/Run and enter: telnet://mx1.hotmail.com:25. If you see a warning message about sending spam, your port 25 access is working. If you see an error message it means that port 25 is blocked and alternative methods may be required. (Code 26-587)

- Error 553 or error 503 -"not in list of RCP hosts", "relaying denied" - or "Server Error: 553
Server Response: 553 sorry, that domain isn't in my list of allowed rcpthosts (#5.7.1)"
FIRST, make sure you have "My Outgoing Server Requires Authentication" checked in the "Servers" tab of your email account setup. If that's not the problem, check the Support web site for more information. . This error could also relate to ISP send restrictions (see #12 above).
- Message blocked by Clean Server-
The message contained a known virus and was blocked by the on-server antivirus program before it could cause damage or problems to your computer.
- I can't find webmail at www.webmail.mydomain.com -
The Webmail address does not include "www". Type "webmail" in place of the "www" and you will find it. (Example: http://webmail.cyberchute.com)
- I can receive email but when I try to send I get an error that says something about a spam blocker. It is possible that your email address has been "spoofed" by a spammer or possibly a virus in your computer has sent enough email to be identified as a spam source. To solve the problem, go to Spamhaus.org and test your email address (free). If your email address has been identified as a spam source you can request a restest. In most cases, especially if your address has been blocked, the spammer will have gone on to spoof someone else's address and your address will be quickly "cleared". A quick-fix solution is to use a different email address to send messages but put your "real" email in the"reply to" line in your email account setup. If you find yourself in this situation please contact Cyberchute Support to assist you with solving the problem. There are steps we can take on the server that can help.
- When I send an email to my own address it comes back with "Sorry.
Although I'm listed as a best-preference MX or A for that host, it isn't in my control/locals file, so I don't treat it as local. (#5.4.6)" -- This may be an internal server email indexing error. Please notify Cyberchute Support so we can correct the problem for you. Also, if you have access to your site's Control Panel make sure that email is not "Disabled".
- An email says it is from me but I didn't send it! How can they do that? It's called "Spoofing" - Click HERE for more details.
- Email (SMTP) from my laptop Wireless Broadband connection was blocked by Spamcop. Error: "SMTP, Server Response: 'rblsmtpd: ##,##,##,##, pid 11959: 451 Blocked - See http://www.spamcop.net/bl.shtml?22.214.171.124', Port: 25, Secure(SSL): No, Error Number: 0x800CCC60". Solution: Disconnect and reconnect your modem. Reconnecting or resetting for about 10 seconds should connect you to a new/different IP address. Reason: Within the last 24 hours Spamcop has identified that IP address as the source of spam, probably from a trojan infected laptop.
- "Recipient's mailbox is full, message returned to sender. (#5.2.2)" or "mail quota exceeded"-
If it's your email box it means you need to download stored email left on the server or access via Webmail then delete AND "purge deleted" messages. (The server calculates storage levels at midnight each night, so the control panel "reports" may not show the change). Email storage is normally set to 10 megs which would amount to well over 100 email messages.
If you need to save email messages you should download off the server to your local computer. If it's the email box of someone you are sending messages you should perhaps let them know about it using an alternative email address or by phone. NOTE: You should turn on EITHER Mailbox OR Redirect and NOT BOTH. If you turn on Redirect (forwarding) you will not have access to Webmail. If you want to use Webmail you should TURN OFF Redirct/Forwarding for that email account. If you have forwarding turned on with a local "mailbox" your local mailbox will fill up and your messages will bounce with a "mailbox full" error message.
- Has your domain name expired?

- SSL email send error No Socket Error when sending email: "The connection to the server has failed. Account: Protocol: SMTP, Port: 25, Secure(SSL): No, Socket Error: 10060, Error Number: 0x800CCC0E"
Send before receive error - If "receive email" has not run in the last 30 minutes you may see this temporary error message. Run send receive again until the message is sent. This is a normal condition. Outlook can be set for "Receive before send" in the "Advanced" tab to avoid this error. (Also see 7 above)
- If your email program stops working and you see a series of red "x" marks, check your Internet connection or close and reopen your email program.
- Can't send email Error: "The following message to [email address] was undeliverable. The reason for the problem: 5.1.0 - Unknown address error 553-"sorry, that domain isn't in my list of allowed rcpthosts (#5.7.1)" - This is a confusing error because it appears to say that any email address is "not allowed" when actually it is referring to your sending address.Check in the Control Panel to see if email is "Disabled". If so, click "Enable" and it should solve the problem. If you do not have access to your email control panel, just contact Cyberchute Support for assistance.
- Can I setup my Hotmail email account in Outlook Express?
Hotmail Leaves Outlook Express -- As of June 2008, you will no longer be able to check your Hotmail emails in Outlook Express; you will instead need to use Windows Live Mail, available for Windows XP and Windows Vista.
You can now setup Hotmail in Windows Live Mail… To set Windows Live Mail as your default email client, open Internet Explorer, go to "Tools", then select "Internet Options", click on the "Programs" tab "E-Mail" and look for the drop down selection.
